Privacy Policy

Last updated: 19 July 2026

This policy explains what information Pinewood Search ("we," "us") collects when you use this website, why we collect it, and the choices you have. We've written it in plain language. This is not legal advice; we recommend having counsel review it against your final data practices before scaling.

We do not sell or share your personal information. We advertise on Meta (Facebook and Instagram), but we do not run the Meta Pixel, Google Ads tags, analytics, or any other third-party tracker on this website. The only third-party embed anywhere on the site is the Calendly booking calendar, and it loads only after you have submitted an audit request. Nothing here follows you around the internet. If that ever changes, we will update this policy, add a "Your Privacy Choices" control, honor opt-out signals such as Global Privacy Control, and obtain consent where required.

Who we are

Pinewood Search is a local SEO and AI-search optimization service operating remotely in the United States. You can reach us at hello@pinewoodsearch.com or by mail at:

What we collect

  • Information you provide through our audit-request and contact forms: your name, business name, email address, phone number, website (optional), service area, what your business does, and anything you write in the message field.
  • Your answers to the audit questionnaire. If you arrive from one of our ads, you may be asked a short set of questions about your business before the contact details: your trade, your service area, where you think you currently rank, the state of your Google Business Profile, roughly how many customers find you through search, what an additional job is worth to you, and how soon you want to begin. These are business details, not sensitive personal information, and we use them to prepare your audit and to know whether we can genuinely help you.
  • Which ad brought you here. Our ad links carry campaign parameters in the web address (for example the trade and city an ad was aimed at, and standard campaign tracking tags). These are submitted along with your form so we can tell which advertising is working. They describe the ad, not you, and they are not used to build a profile of you.
  • Information sent automatically by your browser when you load the site (such as your IP address and basic device/browser details) and standard server logs from our hosting provider. We use this only for security and to keep the site running.

The audit questionnaire keeps your answers in your browser until you press the final submit button. If you close the page partway through, nothing is sent to us.

Why we use it

  • To prepare and deliver the free Search Audit you request.
  • To respond to you and, with your consent, to follow up about our services, including by phone or text at the number you give us.
  • To judge whether we can genuinely help your business before we take up your time.
  • To measure which of our ads bring in real enquiries, so we spend our advertising budget sensibly.
  • To operate, secure, and improve the website.
  • To comply with legal obligations.

Who we share it with

We share your information only with service providers that help us operate, and only as needed:

  • Web3Forms processes our form submissions and delivers them to us by email. Your form data passes through their service for that purpose. See the Web3Forms privacy policy.
  • Calendly powers the booking calendar shown after you submit an audit request from one of our ads. That calendar is only loaded once you have submitted the form, so it is never present for people who simply browse the page. When it loads, Calendly receives your IP address and sets cookies in order to show available times and record your booking, and it receives the name and email you entered so you do not have to type them again. See the Calendly privacy policy.
  • Our website host and email provider, for delivery and storage.

We do not sell your personal information or share it for cross-context behavioral advertising. We may disclose information if required by law.

Advertising and how you found us

We run ads on Meta (Facebook and Instagram). Meta decides who sees those ads and reports back to us how they performed, but that reporting is aggregate: it tells us how many people clicked, not who you are or what you typed into our forms.

Because we do not install the Meta Pixel or any similar tracker on this website, Meta is not told what you do once you arrive here, and your form answers are never sent back to them. The only thing connecting your enquiry to an ad is the campaign tag in the web address you arrived on, which stays with us.

Meta's own handling of your information, including on the ad itself before you click through, is governed by the Meta Privacy Policy and your Meta account settings, which we do not control.

How long we keep it

We keep audit-request and contact information for as long as needed to respond to you and provide our services, and as required for legitimate business or legal purposes. You can ask us to delete it at any time.

Your choices and rights

Depending on where you live (for example, under the California CCPA/CPRA, other U.S. state laws, or the EU/UK GDPR), you may have the right to access, correct, delete, or port your personal information, to opt out of its "sale" or "sharing" (we do neither), and to withdraw consent. To exercise any of these, email hello@pinewoodsearch.com and we'll respond as required by law.

Children

This site is intended for business owners and is not directed to children under 13. We do not knowingly collect personal information from children.

Data security

We use reasonable safeguards to protect the information you share, including HTTPS in transit. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.

International users

We operate in the United States. If you contact us from outside the U.S., your information will be processed in the U.S., which may have different data-protection laws than your country.

Changes

We may update this policy from time to time. We'll revise the "Last updated" date above and, for material changes, take additional steps where required.
